Meeting Minutes


June 13, 2001  5:30 – 8:00 PM

Members present:   Ray Gensinger, Bobbie Carroll, Pam Graves, Van Grotenhuis, Susan Heichert, Tom Loch, Bill Sonterre, Ken Therkildsen, Michael Ward

Meeting Topics

Engaging inactive members.

  • Teleconferencing will first be attempted at the March and May meetings in 2002.  Mike will continue to investigate technical and cost issues on how best to implement.  A sponsor for the cost of the service will most likely be needed.
  • Taking the program on the road is another option.  A "Program road-show" to Rochester or Duluth may help improve membership and participation.   One option for the road-show might be to physically have the event in a different city, but provide a video feed back to Hennepin County Medical Center for those members who can not travel.  Everyone thought this would be a great way to have a program at Mayo
  • A student strategy is needed.  Possible considerations are scholarships and adding a student corner to the newsletters.

Board meetings

  • Future board meetings will be held at Hennepin County Medical Center.  Meetings will start at 5:15pm.
  • The board affirmed posting meeting times to the chapter web site and want to encourage members to attend board meetings.

Items to submit to National

  • Bobbie updated the Board contact list and will submit it to National
  • Mike will complete the Chapter Standards documentation and submit it to National
  • Van will write up how the Chapter videotapes programs and makes them available to members via the web site for the Chapter Innovation Award.

Chair Transition

Publications (Mike to Ken)

  • Mike and Ken will meet in the coming weeks to review the details (layouts, tools used, standards, etc).
  • The chapter website should be moved to National’s central location. While this move eliminates the monthly cost it will also position the chapter to take advantage of future offerings from National.
  • The newsletter will change to an email-based format.  Where additional information might be helpful for readers, links will be placed back to the chapter web site.  Articles are due to Mike by June 25, 2001.

Sponsorship - (Maureen to Steve)

  • Maureen met with Steve earlier this month and handed everything over to him.
  • Steve, Maureen, Bobbie, Susan will meet to discuss ITEC sponsorship.
  • Maureen mentioned that a sponsorship campaign model should now be implemented

Committee Reports

Programs

  • Susan will speak with Woodwinds and ask they choose which of the three topics like would like to discuss.
  • Tom mentioned a bar and grill site by Riverside that might be ideal for the July social.  Tom will investigate the name and location
  • ITEC planning is proceeding exceptionally well. An agenda has been set, most speakers have been identified and even a logo is being developed.  There will be a vendor fair during the lunch time break at the hotel across the street
  • The development of the Programs Sub-Committee is needed to help with the increasing demands being placed on Susan and other board members.  As the complexity of Chapter programs increase (videoconferencing and multiple site locations) additional time from board members or member participation will be needed.

Membership

  • Ray will continue to maintain the membership database for now.  Once National has demonstrated it can maintain the Chapter’s data, Ray will stop his maintenance.  However, if National is unable to properly maintain the database, a firm specializing in membership database maintenance will be retained.
  • Bill will review the Chapter brochure and make the necessary changes to the document.  It is a Microsoft PowerPoint document. 
  • Ray and Bill will meet to review the process for sending new members information about the Chapter.  Please send what documentation/files you have related to membership to Bill.
  • Van will ask National how we will update our “marketing database” they maintain when he attends the Future Leaders Workshop.

Other

  • Van will be attending National's Future Leaders Workshop in Chicago
